The Sturgis Rally Bikers Benevolence Fund, hereinafter called the Fund, is
a non profit, charitable organization, designed to help bikers associated with
the annual Stugis Bike Rally whom have been involved in an accident enroute
to the Rally, at the Rally or on their return trip home from the Rally.
The Fund is NOT an insurance policy and shall be held harmless if no funds are
available. Disbursement from the Fund shall be on a first come, first served
basis.
The Fund shall be managed by four Officers. These shall be an Administrator,
two Trustees and one Treasurer . Officers of the Fund shall be on a volunteer
basis and terms of tenure shall be one year. At the end of an Officers term
he may elect to continue if no replacement volunteer is available. If there
are several volunteer applicants for an Officers position, the preceeding Officer
shall elect his Sucessor.
If an Officer is requested to resign his post by a concensus of two other Officers,
he shall do so immediately, and the Administrator shall be responsible for securing
a replacement as soon as possible. The fiscal year of the Fund shall be from
Jan.1 to Dec. 31.
The function of the Administrator shall be to announce through a quarterly newsletter
whether by e-mail, ground or a discussion board the status of the Fund to all
interested parties. All deposits and disbursements shall be made available to
any interested party by the Administrator. The Admininstrator shall also have
the function of responding to correspondence in a proper manner.
The function of the two Trustees shall be to physically disburse funds and assess
the dollar amount for each disbursement. The trustees shall also be responsible
for examining each possible disbursement for legitimacy.
The function of the Treasurer shall be to keep accurate records of deposits,
withdrawals, and disbursements. These transactions shall be kept in duplicate
in two separate binders stored at separate locations. The Treasurer shall also
have the responsibility of establishing bank account(s) or Trust Fund(s) for
the Fund. The Treasurer shall also have the responsibility of securing account(s)
for deposit of funds which benefit the Fund with highest interest payable.
Disbursement of Funds shall be made by check with three signatures. Signatures
shall be by two Trustees and either the Administrator or the Treasurer.
